Description du poste

Education First is seeking an experienced Executive Assistant to join our mission-driven education policy consultancy. Education First relies on highly organized, resourceful, tech savvy, and collaborative Executive Assistants who thrive in a fast-paced environment and keep our leaders, projects, and team connected. Reporting to the Senior Manager of Administrative Operations, Executive Assistants manage complex calendars, event and travel logistics, and budget tracking and expense reconciliation. This role balances two core functions: providing Executive Support to three senior leaders, while serving as the administrative and logistics lead for in-person and virtual client meetings, convenings and engagements. Additionally, you will support building internal culture and contributing to the Executive Assistant Team’s goals, learning, and initiatives. Executive Support • Own and drive calendar management for complex internal, client-based, and project-based scheduling • Proactively prioritize and strategically manage conflicting appointments • Field/triage requests from internal and external stakeholders • Manage end-to-end travel for the leaders you support • Secure flights, hotels, ground transportation and restaurant reservations as needed • Serve as the first point of contact when travel disruptions occur • Ensure all receipts (ride-shares, meals, incidentals) are collected and expensed ensuring accurate project billing • Copyedit and support design of near final deliverables as needed Administrative & Logistics Lead • Serve as the Project Administrator, managing logistics for projects led by senior leaders • Schedule internal, client calls, focus groups, interviews, and in-person meetings involving senior leaders • Manage end-to-end virtual logistics, including registration, participant management, breakout rooms, interactive polls, and real-time tech troubleshooting • Oversee in-person event operations, including venue and vendor sourcing, hotel booking, catering, supplies shipping, registration • Partner with project teams and travel agents to coordinate travel for event attendees and speakers, send event communications, and process expense reimbursements Internal Culture & Team Engagement • Foster a rich Home Team and Internal Team culture • Gift management for Home Team members’ birthdays and special occasions • Welcome new hires to Home Team • Collaborate with Home Team leads on monthly meeting agendas and culture-building activities • Contribute to EA team goals, learning, and initiatives • Provide temporary coverage for other EAs on PTO/leave Requirements • Multi-Executive Mastery: You are a seasoned administrative professional skilled at supporting multiple senior leaders at once, each with their own projects, clients, and priorities, and you know how to juggle competing demands without dropping the ball. • Complex Operations & Logistics: You thrive managing conflicting priorities, cross-time-zone scheduling, end-to-end travel arrangements, and event/expense logistics. • Proactive Problem-Solving: You are a resourceful, self-motivated starter who anticipates barriers, takes initiative on critical projects, and delivers results autonomously. • Trusted Relationship Builder: You lead by influence, leveraging strong emotional intelligence and communication skills to build trust. • High Attention to Detail: You bring extreme organization and precision to deliverables, operations, and administrative functions. • Solutions-Oriented & Adaptable: You bring a service mindset to your work, staying flexible and customer-focused when priorities shift. • Tech-Savvy: You are fluent in standard administrative platforms (Google Workspace, MS Office, ClickUp, Calendly). • AI-Curious: You're comfortable exploring and using generative AI and automation tools (e.g., Gemini, Claude, Copilot) to streamline document generation, synthesize information, and boost productivity. Employees living in cities with higher cost of living may receive a location-based supplement equivalent to 1-5% of the base salary.
