Responsibilities
As a Document Controller, you will play a key role in managing and distributing information across DATAONE’s data center projects. Working closely with project teams, engineers, contractors, and partners, you will ensure that documents are registered, checked, issued, and archived in accordance with project procedures and requirements. Your main responsibility will be to ensure the accuracy, traceability, and availability of project documentation throughout the project lifecycle: design, construction, commissioning, and preparation of the Operations and Maintenance (O&M) documentation.
• Document management: Receive, register, classify, distribute, and archive documents in accordance with the naming, coding, and filing rules defined for each project.
• Document checks: Verify that deliverables meet document control requirements, including format, revision, status, coding, metadata, and approval workflow.
• Transmittal tracking: Prepare and track transmittals, manage document submissions and returns, and ensure that documents are distributed to the relevant parties.
• Revision and status management: Maintain revision traceability and ensure teams have access to the latest approved documents.
• Approval tracking: Update document registers, monitor review and response deadlines, follow up with contributors when necessary, and flag delays or discrepancies.
• Deliverable coordination: Collect and organize documents produced by project teams, engineers, contractors, and partners.
• O&M documentation and project closeout: Help collect, check, and submit handover documentation in accordance with project requirements.
• Process improvement: Support the implementation and continuous improvement of document control procedures, tools, and best practices.
Requirements
Requirements:
• Experience in document management, document control, or project administration, preferably in construction, engineering, or infrastructure.
• Good working knowledge of office software and a document management platform or collaborative environment.
• An understanding of approval workflows, revision control, and document statuses.
• The ability to work methodically in a demanding technical environment with tight deadlines.
• Strong communication skills, a collaborative mindset, and a service-oriented approach.
• Knowledge of BIM would be an advantage.
• French proficiency is a Must
